In the modern world of telecoms, reliable broadband and telephone systems are essential for any successful dental practice. For you, and many other dentists, managing these technologies takes time and attention away from patient care.

This article explores how Voice over Internet Protocol (VoIP) can revolutionise dental practices, allowing dentists to spend more time with their patients and less time dealing with broadband issues or managing calls.

We’ll also go through some of the things that VoIP can provide for your practice, and even hear from one of our customers how they have reduced costs and improved patient care with the help of Yellowcom.

What is VoIP and Does My Practice Need It?

Voice over Internet Protocol (VoIP) is a technology that allows you to make and receive phone calls over the internet, rather than through traditional phone lines. For dental practices, this means a more flexible, efficient, and cost-effective way to manage communications. VoIP systems are typically cloud-hosted, meaning there’s no need for physical phone systems in your practice. This not only saves space but also ensures that you can manage calls from anywhere, whether you’re in the office, at home, or even on the go. The ability to port your existing phone number to the VoIP system means your brand identity remains intact, and features like call recording and voicemail-to-email notifications add layers of functionality that improve both patient experience and staff efficiency.

Managing Multiple Practices

For dental practices with multiple locations, VoIP offers seamless integration and management of calls across different sites. Time of Day Routing allows calls to be directed to specific offices during working hours and to alternative numbers or voicemail after hours. This ensures that no patient call is missed, regardless of the time of day or the location of the caller. Additionally, VoIP’s inter-site call transfer capability means that calls can be easily transferred between locations without incurring additional costs. This not only streamlines communication but also enhances the patient experience by ensuring they are always able to reach the appropriate person or department.

Strong WiFi

Reliable internet connectivity is crucial for the effective operation of a VoIP system. Strong WiFi ensures that calls are clear and uninterrupted, which is essential for maintaining high standards of patient communication.

A robust internet connection also supports other critical functions within the practice, such as accessing patient records, scheduling appointments, and handling billing processes efficiently. Investing in high-quality WiFi infrastructure can help dental practices avoid the frustrations of dropped calls or poor call quality, which can negatively impact patient satisfaction and trust.

Call Handling

VoIP systems provide advanced call handling features that are particularly beneficial for dental practices. Features like Auto Attendant menus can guide patients to the right department or person quickly, reducing wait times and improving overall patient experience. Call queuing and routing ensure that calls are managed efficiently, even during peak hours, minimizing the chances of missed calls. Moreover, VoIP allows for the playing of pre-recorded messages or music while patients are on hold, which can be used to inform them about services, promote special offers, or provide important updates about the practice.

Reducing Costs

One of the most significant advantages of VoIP for dental practices is the potential for cost savings. Traditional phone lines and systems can be expensive to maintain and upgrade. In contrast, VoIP systems typically have lower setup and maintenance costs. Services like Yellowcom’s VoIP offer packages with a fixed monthly fee, which includes free minutes to UK landlines and mobiles, eliminating unexpected costs. Additionally, the ability to use softphones—apps that allow you to take calls on your computer or mobile device—further reduces the need for expensive hardware. Overall, switching to VoIP can significantly reduce operational costs while providing a more flexible and efficient communication solution.

In conclusion, adopting a VoIP system can revolutionize the way dental practices manage their communications, allowing for more efficient call handling, reduced costs, and enhanced patient care. As technology continues to evolve, dental practices must adapt to remain competitive and ensure they provide the best possible experience for their patients. By leveraging the benefits of VoIP, practices can focus more on patient care and less on managing their communication systems.

Case Study

One Dental Care

Who are One Dental Care?

We are One Dental Care, bought over by Colin Hunter and Greig Stevenson in 2014, we are a group of 4 practices located in Dalry, Kilbirnie, Beith and Troon. Our goals are to continue to provide our patients with the best service we can and help look after and maintain oral health in the area.

What was the challenge?

When we took over we were faced with 4 separate BT bills for each site, old fashioned answering machines that would frequently break and no way to divert calls internally or to our other practices.

What solution did Yellowcom provide?

Yellowcom listened to our needs as a medical group and provided us with new routers and WIFI access points, they provided us with a comprehensive hosted telephone system across the 4 sites with the function for our patients to be held in a queue or have the option of leaving a message. We can also easily speak practice to practice and now have 1 combined bill.

What benefits did the solution provide?

Every patient now has an option to hold or leave a message for us to return the call, staff find the system easy to use.
